Responsible for providing Executive Assistance to the Preconstruction, Commercial and Operations directors and team. The role involves performing all office based administrative activities proactively and efficiently, enabling all team members to work easily and quickly to maximise efficiency. You will work towards the development of Construction North Group’s vision and values, with an engaged team and will be able to deliver the assigned work to the highest of standards.

Preconstruction
Manage Precon SharePoint
Estimating team liaison
Manage enquiry process
Document control of preconstruction information and employers requirements
Diary management scheduling site visits, strategy and settlement meetings
Build and nurture Supply Chain relationships
Manage and file subcontract quotations
Manage and file correspondence required from commercial and operations
Manage and file site visit photographs
Create handover folders for site mobilization
Commercial
Manage the Supply Chain Vendor Registration Process.
Manage supply chain records including validity
Create and issue Purchase orders to the supply chain (through Xero)
Generate commercial reports through Xero as requested by the SMT
Liaise with the Finance Manager to assist with cost management
Assist with obtaining quotations for project setup & supplies (site welfare, consumables etc as required)

Manage Group SharePoint
Assist with all preconstruction, commercial and operations administrative duties in an efficient manner
Interact with colleagues, customers and visitors, maintaining a polite and helpful approach with all
Answer telephone calls, enquiries and requests in courteous and professional manner
File and retrieve group company documents, records and reports and ensure all filing up to date and well-managed
Create and modify documents such as management system templates
May conduct research, compile data and prepare papers for consideration and presentation to the senior team
Attend meetings as requested in order to record minutes
Formatting documents, reports, letters, presentations and other documentation.
Supporting other members of the senior team as needed.
Assisting with director’s inbox management
Scheduling travel and appointments.
Timely preparation and processing of the Director’s expenses
Assisting with printing/binding of reports, presentations and any other documents as required.
Ordering appropriate office supplies and liaise with equipment vendors.
Manage and collate Customer Experience (CX) scores
Manage and collate Quality Check (QC) scores
Manage and implement ISO/Accreditation and Insurances renewals
Assist with any other administrative duties in an efficient manner
5 years + in similar role
Educated to A level or equivalent
Degree or NVQ desirable
Proven Experience of office/construction administration
Computer literate in all Microsoft Office 365
Experience of managing and maintaining database systems
Excellent oral and written communication skills and strong inter-personal skills
Ability to write clear, concise minutes and reports
Experience of working within a small team and/or prioritising own workload
Excellent time keeping, reliability and personal organisation skills
Ability to manage a given list of tasks
Ability to work well either alone or as part of a team
Good knowledge of construction practices and standards
Experience in Adobe Creative Suite is desirable
Polished and professional presence
Consistently positive attitude with ability to create strong first impression for office visitors
Extremely proactive and productive
Calm under pressure
Any other reasonable duties as required

Full UK Driving Licence
Salary: £35,000 per annum
Pension: 3% contribution
Holidays: 23 days holiday plus bank holidays, rising by one day per year to 28 days.
